Cashbook Entries

Marlin GTX uses Cashbook entries record transactions that do not relate to customer sales or supplier purchases.

Unlike customer or supplier transactions, which are posted to the general ledger at End of Day (EOD), cashbook entries post directly to the account—without waiting for EOD processing—and update the bank account balance as soon as they are committed.

The Cashbook module can be accessed by selecting Main > Data Entry > Cashbook or Bank Reconciliation from the menu bar.

Register deposits and EFT settlements are automatically posted as part of the End of Day Close-Off.

Cashbook entries are therefore typically used for non-trade income or expenses, such as bank fees, interest, or miscellaneous receipts.

Cashbooks can also be used to add missing transactions when performing bank reconciliation.

Note

Deposits entered at the head office can be distributed across multiple locations.

Adding Cashbook Entries

Main > Data Entry > Cashbook or Bank Reconciliation

The Cashbook module will open containing a form for entering a new cashbook entry.

In the section at the top:

  • Select the Bank Account
  • Select the Salesperson
  • Select the Location recording the deposit (head office only)

To add a new detail line, click on the Add button at the top of the Line Details list below.

For each detail line

  • Select the Date
  • Select the GL Period
    • Tick the Last checkbox to post to last year's GL, if required
  • Seelct the Type:
    • Payment: Payments you have made
    • Deposit: Payments you have received
    • Bank: Bank fees you have paid

  • Enter a Reference Number
  • Optionally, select a Name: Pre-set labels (e.g Petty Cash, Postage)
  • Enter a longer, editable description in the Details field
  • Enter the Amount
  • Select the Account
    • For multi-branch systems, select the Branch
  • Select the Tax Account
    • The Tax amount should be calculated automatically
    • If not, it can be entered or edited manually

Previous cashbook entries can be viewed by clicking on the printer icon at the top of the Line Details list.

Tip

Split Account Lines can be added by clicking on the blue s at the top of the Line Details List.

To commit the cashbook entry:

  • Click on Finalise at top of the module window

Note

If adding an entry for a bank reconciliation, click on Add when returning to the Bank Reconciliation screen to add the deposit in the transaction list.
