Marlin Tyre and Mechanical Workshop Software allows advanced invoices of multiple and partial customer orders.
If enabled, the Advanced Invoices function can be used to partially Invoice a customer order (e.g. when an item is being back-ordered), or invoice the same customer for multiple customer orders at once.
To enable Advanced Invoices, select System > Company > Settings from the menu bar.
The Enterprise Settings tab will open, showing a list of configurable enterprise settings.
Locate CustomerOrder.EnableAdvancedInvoice in the Enterprise Settings list and tick the checkbox to the right.
Once enabled, an Advanced Invoice action button will appear to the top right of Customer Order windows.
Partially Invoicing Customer Orders
Daily Activity > Customer Orders
To partially invoice a customer order, first Open it from the Customer Orders Search list.
At the top right of the Customer Order window, click the Advanced Invoice action button.
The Advanced Invoice window will open, showing all invoiceable details for the customer order.
Details can be deleted and/or quantities reduced so that the full order amount is not invoiced:
-
To delete a line from the invoice, select it from the list and click the Delete action button to the top right.
-
To change the quantity of an Item being invoiced, enter the number of the item to invoice in its Qty to Invoice cell.
Additional Items and other details can also be added to the invoice, as usual.
Once the partial order is ready to be invoiced, click on the Commit action button in the top right of the Advanced Invoice window.
The Invoice pop-up window will open.
Use the Payment Methods or Payment Terms list on the left of the Invoice window to process the payment.
The Advanced Invoice Note textbox in the bottom right can also be used to add any additional notes to the invoice, which are shown in Marlin but will not appear on the generated invoice.
To invoice the order and return to the customer order's Information tab, click on the Commit button at the bottom right of the Invoice window.
If any of the items' Qty to Invoice is less than its Qty Ordered, the order will remain open after the partial invoice and its status will change to Back-Ordered.
Partially invoiced orders with items remaining to be invoiced will be listed as Back-Ordered in the Customer Orders Search list and can be invoiced again at a later date.
Invoicing Back-Orders
Daily Activity > Customer Orders
Once the remaining items on a back-ordered customer order are ready to be invoiced, Open it from the Customer Order's Search list.
The customer order's Search list needs to be set to All or Back-Ordered to show back-ordered customer orders.
The order will open on the Order Details tab.
In the order's Details list (next to the Quantity column) will be an additional Outstanding column:
-
An item's Quantity value is the total amount that was originally ordered.
-
An item's Outstanding value is the number remaining to be invoiced.
Lines that have already been invoiced cannot be deleted from back-ordered customer orders, but outstanding lines can be edited and new ones can be added.
Once the order is ready to be invoiced, click on the Invoice action button in the top right of the module window.
The Invoice pop-up window will open.
Use the Payment Methods or Payment Terms list on the left of the Invoice window to process the payment.
