Article summary

The Pay Journal Report is the journal that is automatically created by each pay run and sent to your Marlin GTX Inbox for automatic posting into your General Ledger.

It is a list of debits and credits to the GL Accounts that you have setup various transaction types in Marlin HR to be posted to.

It is split into three sections: Wages Paid; Superannuation Accrual; and Leave Accrual.

You can view a journal report for a single pay run, multiple pay runs or all pay runs in a selected year.

The pay runs included in the report will be displayed in the report header.

Pay journal not appearing in Marlin GTX inbox

This is normally for one of the following reasons:

The pay journal has already been posted or deleted from the Marlin GTX inbox.

If so, confirm that the pay run number doesn't already appear in your Salaries & Wages account.

Megalink is not running or has a blockage; yhe Marlin Installation Location has been set incorrectly in Marlin HR.

If so, please perform the following checks and then resubmit the pay run journal if necessary.

Check Megalink

The pay run journals are transferred across from Marlin HR to your Marlin inbox by Megalink.

The journals should normally appear in the inbox within a few minutes, unless there is a Megalink blockage or Megalink is not started.

Megalink generally runs on a Master PC or Server.

Check the Megalink indicator on the status bar at the bottom right of your Marlin GTX screen.

If Megalink is running it should have a grey background, if not it will have a red background.

If unsure, please check with the person who turns on the Master PC each morning and have them start Megalink if necessary.

Check the Marlin Installation Location

If Megalink is running (see above) and has no blockages, but your Marlin HR pay journals are not appearing in your Marlin GTX inbox, it is possible that Marlin HR is trying to send the journal to the wrong place.

If you select System > Options from the MarlinHR menu toolbar, then click on the Accounting Options tab, you will see a field labelled 'Marlin Installation Location'.

This is where we tell Marlin HR where Marlin GTX lives so that it can send the pay run journals there.

You should not normally need to touch this value unless something in your setup has changed (eg. new machines or Megabus has upgraded Marlin) or you are running Marlin HR from a different PC.

If this field has a different value to the one in the diagram above (eg. c:\marlin, d:\marlin, m:\marlin) then delete it and manually type in the one shown above, then click on the Save icon.

Note

This will enable Marlin HR to send the pay journals to Marlin GTX regardless of which PC you use to perform the pays.

You can then re-submit the missing pay run journal(s) as explained below.

If they still don't appear, please contact Megabus for further assistance.

How to re-submit a Pay Journal to Marlin GTX

If your Marlin HR has the Marlin Installation Location entered (see above) it will automatically send a pay journal to your Marlin TX/GTX Inbox within a few minutes of the pay run being finalised.

The Megalink program must be running for the transfer to take place.

If you have confirmed that the pay run journal hasn't already been posted to the GL, and that Megalink is running with no blockages, you can resubmit it from Marlin HR to your Marlin GTX Inbox.

Select Reports > Pay Journal Report from the Marlin HR menu toolbar.

Select the relevant Pay Run then click on the Generate button.

Click on the Resubmit this Pay Journal to Marlin TX icon image.png and respond Yes to the confirmation prompt.

Megalink should now submit the pay journal to your Marlin GTX Inbox within a few minutes.

Missing Pay Run in Bank Reconciliation

If a pay run is missing from your Bank Reconciliation in Marlin GTX, it may be because of one of the following reasons:

  • It is still sitting in the Marlin GTX inbox and has not yet been posted.
  • It was accidentally deleted from the Marlin GTX inbox before being posted.
  • It has not yet made it across from Marlin HR to Marlin GTX because Megalink is not running.
  • It never made it across from Marlin HR to Marlin GTX (possibly due to a Megalink problem).

If it is not sitting in the Marlin GTX inbox and Megalink is running (and has 2 green lights and no blockages), you can re-send the pay journal from Marlin HR (see How to re-submit a Pay Journal or the video at Resubmitting a Pay Journal).
