Marlin GTX enables users to update fields across multiple records using bulk file maintenance.
You can update Product, Customer, Supplier and General files in bulk using:
- Bulk File Maintenance module for a small number of records
- Spreadsheet imports for larger updates
The Bulk File Maintenance module can be accessed by selecting:
- Tools > Bulk File Operations > Bulk File Maintenance
Bulk File Maintenance
Tools > Bulk File Operations > Bulk File Maintenance
The Bulk File Maintenance module will open on the Select Master File window.
Select a file by either:
- Clicking the master file button, or
- Choosing from the Select a File drop-down
- Then click Ok
The Bulk Maintenance pop-up will open.
First, select the fields to edit:
- Change the sort order: Use the Sort By drop-down (top left)
- Restrict shown records: Press Alt+R or click Restrict View
- Exclude fields: Click Remove Columns
- Include new fields: Click Add Columns
- Clear all columns, then add those required: Click Remove All
Enter changes directly using the table below:
- Click the relevant field and enter the new value
Before committing:
- Review the pending changes
- Export the changes if needed (top-right)
To commit the changes:
- Click Update (top-right)
- Click Yes to confirm
- If prompted due to filters, click Yes again
If you need to make changes to a large number of records, you may be better off using the spreadsheet import method.
Bulk Spreadsheet Maintenance
Tools > Bulk File Operations > Bulk File Maintenance > [Master File]
If you need to update a lot of records at once, you can export, edit and then reimport a .csv file, rather than editing each record individually.
Exporting Spreadsheets
Select the appropriate master file to edit and click on the Export button at the top-right of the Bulk Maintenance window.
Take note of the folder name in the confirmation message and click Ok.
Editing Spreadsheets
Windows File Explorer
Locate and open the file:
- Go to the GTX directory in your Windows File Explorer
- Open UtilityDataFiles > Bulk Maintenance > Export
- Open the folder for your selected master file
- Locate and open NewRecords.csv
Add and Edit the data as required:
- To remove entire items: Delete entire rows
- To remove entire fields: Delete entire columns
Save the file (as .csv)
Make sure to format the columns as text in Excel to prevent leading zeros from being removed from the cell contents.
Example: if an item's product code is "09228", it will be imported as "9228" if the column is not formatted as text.
Importing Edited Spreadsheets
Tools > Bulk File Operations > Bulk File Maintenance
To import the changes, return to the Bulk File Maintenance module.
If it is still open, all of the same settings should be saved and you proceed straight to the import.
If you have closed and reopened the module since the export:
- Select same master file from theSelect Master File window
- The Maintenance History pop-up will open
- Select the previous export from the list
- Click Continue Maintaining ...Master button at the bottom
If you have added or removed fields during editing:
- Make sure the Sort By order, Restrict View ranges and Columns match those in the file you're importing.
To import the edited file:
- Click Import CSV
- Select the edited .csv file
- Click Open
Make sure to review the bolded changes in the table below before finalising.
To confirm the changes:
- Click Update
- Click Yes to confirm
- If prompted again, click Yes
- Click Ok to finish
