# Terminated Employees

{{variable.HR Bold}} enables users to manage previously terminated employees with accuracy and compliance.

**This allows for:**
* [Re-employing former staff](/hr/docs/terminated-employees#reemploying-terminated-employee)

* [Making post-termination adjustments](/hr/docs/terminated-employees#additional-after-termination-payments-or-adjustments) 


These features support **clear employment history**, **correct income reporting** and **eliminates payroll processing errors**.

## Re-Employing Terminated Employees

If a previously terminated employee returns to the business, they must be set up as a **new employee record**.  

While the same name may be reused, the **Employee Code must be different**.

**This is necessary for several reasons:**
* Each employment period must have a distinct **Start Date** and **Termination Date**, clearly identifying any employment gaps.  
* Separate periods are important for providing accurate **employment history** if requested.  
* The employee’s **income statements** in **myGov** will display separate employment periods, even within the same financial year.  
* It eliminates the risk of errors related to **leave accruals**, **pay periods** and **taxation**, especially when reusing outdated employee data.

A terminated employee record should **never be reactivated** for a new employment period.

## Hiding and Displaying Terminated Employees

Employees terminated during the **current tax year** will continue to appear in the **Employee Maintenance** list.  

These entries are marked with a red **"Terminated on dd/mm/yyyy"** status label.

After the **End of Year Close-off**, terminated employees will be hidden by default.  

You can display them by ticking the **"Show any previously Terminated Employees"** checkbox at the top of the list.

## Additional After Termination Payments or Adjustments 

Once a **Termination Payrun** has been processed for an employee, you can no longer include them in a **Normal Payrun**.  

However, if adjustments or extra payments are required (e.g. underpayments, missed entitlements), you can address these by processing another **Termination Payrun** for the same employee.
