# Attendance Maintenance

Time and Attendance Feature

          This advanced [time and attendance](https://help.megabus.com.au/gtx/docs/time-and-attendance) feature is only available in **GTX 5.7.1** and later.

**Marlin GTX**'s Attendance Maintenance module enables users to view and manage staff attendance entries.

The Attendance Maintenance module can be used to:

- View and manage [staff attendance entries](/gtx/docs/attendance-entry),
- Correct staff clock on and off times,
- Add and edit breaks,
- Review staff attendance activity.

Attendance Maintenance can be accessed by selecting **Main > Staff > Manage Attendance** from the menu bar.

## Viewing Attendance Entries

The **Attendance Maintenance** module will open, a list of active staff members is shown on the left, and their attendance records on the right.

Selecting a staff member from the list will show their attendance activity in the grid on the right, highlighted in the colours selected in the [Schedule Maintenance](/gtx/docs/schedules#adding-schedules) module.

          Tip

          

The number of weeks shown and the length of the grid intervals can be adjusted using the **Weeks to Show** and **Interval** drop-downs at the top. Different attendance periods can also be viewed by clicking on the **arrow buttons** at the top and bottom of the dates on the left of the grid.

### List and Summary Tabs

A list of attendance events for selected staff members can be viewed by clicking on the **List** tab at the top of the Attendance grid.

An ongoing [Attendance Activity Report](/gtx/docs/attendance-activity-reports) can also be viewed by clicking on the **Summary** tab.

The report's statistics can be refreshed by clicking on the **Calculate** button.

## Editing Attendance Entries

#### Main > Staff > Manage Attendance

Users with **Attendance Maintenance** [permissions](/gtx/docs/password-groups) enabled can also use the Attendance Maintenance module to edit and correct attendance entries, which might be required if staff forget to clock on or off, or their attendance is recorded incorrectly.

### Editing Existing Attendance Records

#### Main > Staff > Manage Attendance

To modify an existing attendance record, **double-click on it** in the Planner grid.

The **Change Attendance Detail** pop-up window will open, which can then be used to edit the attendance event as required.

When editing attendance events, you will be required to enter a comment explaining the edit (e.g. "staff member forgot to clock-on").

### Adding New Attendance Entries

#### Main > Staff > Manage Attendance

New attendance entries can be added by **double-clicking on a blank cell** in the Planner grid.

The **Add Attendance Detail** pop-up window will open.

Use the **Type** drop down to select the type of attendance entry to add:

- **Clock On/Clock Off Event** adds an attendance entry with both a start and an end time,
- **On Break/Off Break Event** adds a break entry with both a start and an end time,
- **Clock On Event** add an attendance entry for the current day with a start time only, which will need to be clocked off again later.

Use the drop-down menus below to select the **Start/End Date** and **Start/End Time** for the event.

In the **Comment** textbox, enter the reason for the manual event entry (e.g. "Staff forgot to clock on")

To save the event and add it to the attendance record, click on the **Ok** button at the bottom-right of the pop-up window and enter the salesman or technician password as required.

          Example

          

- If a staff member forgot to clock on at all on a previous day, you would add a **Clock On/Clock Off Event** for that date, and then also add any **On Break/Off Break Events** for that day, as necessary.
- If a staff member forgot to clock on in the morning of the current day, you would add a **Clock On Event** for the current day and then they would clock-off in the evening, as usual.

          Tip

          

If the attendance entry occurs across multiple days, you can tick the **Add as Individual Days** checkbox to to break up their attendance across their scheduled hours of operation, rather than adding a single, continuous entry.

### Adding Leave Entries

#### Main > Staff > Manage Attendance

Leave entries can also be added to the Attendance Planner, using the same method for [adding new attendance entries](/gtx/docs/attendance-maintenance#adding-new-attendance-entries).

**Double-click on the relevant cell** in the Planner grid to open the **Add Attendance Detail** pop-up window.

Use the **Type** drop down to select the type of leave entry to add and enter the rest of the details as usual.

          Tip

          

A guide to the different leave entry and attendance colour codes can be viewed by clicking on the **Legend** button at the top of the Attendance Planner.

### Real-Time Attendance Entries

#### Main > Staff > Manage Attendance

Staff members can be immediately clocked on and off from within the Attendance Maintenance module by **right-clicking** on them in the staff list and selecting **Clock On** or **Clock Off**.

Attendance entries made using this method will be recorded as beginning/ending from the time they are selected, [the same as when clocking on or off using the Attendance Entry module](/gtx/docs/attendance-entry).

          Note

          

This method can also be used to start and end **breaks** for clocked-on staff members.
